Executive Assistant (Head Office)


1) Purpose of Role


To provide high-level administrative, operational, and strategic support to the Directors, ensuring smooth daily operations, effective time management, and professional stakeholder engagement.


 

2) Key Responsibilities


Administrative & Executive Support


Manage complex calendars, schedule meetings, and coordinate appointments for Directors

Screen and prioritize emails, calls, and correspondence on behalf of Directors

Prepare agendas, take minutes, and follow up on action items from Board and management meetings

Draft, proofread, and format reports, presentations, proposals, and official communication.


Operations & Coordination


Liaise between Directors and department heads, staff, clients, and external stakeholders

Coordinate domestic and international travel, including itineraries, visas, and accommodation

Organize Board meetings, company events, and strategic planning sessions

Maintain confidential files, contracts, and company records in compliance with data protection.

 


Strategic & Research Support


Conduct research and compile briefing notes to prepare Directors for meetings

Track key deadlines, projects, and KPIs and milestones; provide regular status updates

Handle special projects and assignments with discretion and initiative.

 


Office Management


Oversee office administration and ensure the Directors’ office runs efficiently

Manage expense reports, budgets, and procurement for the Directors’ office

Manage access to Directors while maintaining professionalism and diplomacy.

 


3) Required Qualifications & Experience


Diploma in business administration, Management, Communications, or related fields those with Bachelor's degrees will have added advantage.

Minimum 4-5+ years proven experience as an Executive Assistant, Personal Assistant, or similar role supporting C-suite/Directors

Excellent written and verbal communication skills in English

Advanced proficiency in MS Office Suite, Google Workspace, Zoom/Teams, and calendar management tools

Strong understanding of business operations, board procedures, and corporate governance.
