The Global Health Informatics Institute (GHII) is a non-profit organization working at the intersection of science, engineering, and global health to address problems of global health importance through the development of local solutions and capacity (https://www.ghii.org). Position: Human Resource Officer


Salary Range: MWK17,069,988 - MWK 19,630,498.55 gross per annum.


Purpose: The Human Resource Officer is responsible for implementing systems and processes to support GHII’s staffing needs. This includes developing and updating HR policies, overseeing recruitment and employee performance management, ensuring legal compliance, and supporting professional development. The HR Officer will work closely with project leadership and administrative teams to forecast HR needs and ensure efficient staff management across the organization. S/he ensures consistent and uniform implementation of HR policies and procedures in compliance with Malawi labor laws


Summary of Responsibilities


Facilitating the recruitment process for new staff


Posting job advertisements to job boards and social media platforms.


Screening potential employees' resumes and application forms to identify suitable candidates for advertised vacancies.


Setting up interviews and corresponding with prospective employees in a timely manner.


Contacting candidate references and verifying education listings.


Extending job offers and negotiating with prospective employees on job-related expectations and compensation.


Facilitating the onboarding process of new staff by conducting training sessions and preparing onboarding documentation.


Managing employee documentation and welfare


Maintaining detailed records of personnel files and updating relevant data.


Managing electronic timekeeping systems and reviewing timesheets.


Managing staff wellness initiatives and performing routine check-ins with staff members.


Discussing terms and conditions of employment and benefits with staff members.


Answering employees’ questions regarding their benefits and compensation options and assisting with the administration of their benefits.


Managing aspects of HR processes for the company.


Evaluating staffing needs.


Support all internal and external HR-related inquiries or requests.


Complete termination paperwork and exit interviews.


Identifying pain points, problems, and bottlenecks in HR processes and practices.


Handling workplace investigations, disciplinary, and termination procedures.


Resolving conflicts through positive and professional mediation.


Providing employee relations services including coordinating disciplinary procedures, liaising with legal counsel on employee matters, supporting grievance processes.


Overseeing employee development and performance management


Creating new training and development programs.


Reviewing employees' work progress using an employee appraisal system and making recommendations, if necessary.


Communicating with staff about issues affecting their performance.


Coordinate employee development plans and performance management.


Documenting and reporting on organization human resources.


Implementing relevant HR metrics in order to determine the efficiency and impact of the workforce.


Monitoring metrics such as retention rates and staff turnover and proposing interventions where necessary.


Creating quarterly and annual reports on HR metrics.


Ensuring compliance with local labor regulations


Advising on legal and procedural aspects of HR processes.


Keeping abreast of government regulations and public policies and accordingly amending company policies and informing staff about changes and implications.


Assisting in the preparation of monthly payment schedules and invoicing for pension, medical cover and funeral cover.


Collaborating with management to introduce, maintain or improve organizational culture


Contributing to a healthy corporate culture that supports growth and equal opportunity.


Assisting in the planning of company events.


Assisting with the organization of team-building and staff development activities.


Brainstorming and implementing incentives that increase staff morale and productivity.


Assisting management and the organization in implementing HR changes.


Recommending policies that will improve the culture within the organization and suggest ways in which to hire the best candidates for the job.


Ensuring staff compliance with organization policies


Performing training and education tasks to improve our organization's HR practices.


Presenting new or updated HR policies to staff members.




Qualifications, Skills, and Experience


A minimum of a bachelor’s degree in Administration or human resource management.


At least 3 years of working experience, preferably on donor funded projects.


Fluency in both spoken and written English and Chichewa languages.
