About the Opportunity
Save the Children is inviting applications from suitably qualified personnel to fill the position of Office Assistant for the HRSA Programme based in Ntcheu.
The Office Assistant will be responsible for maintaining cleanliness and hygiene within the office premises, including bathrooms, kitchen, and office surroundings, while also supporting administrative functions such as photocopying, printing, binding, movement of office items, and general office support services.
The role holder will ensure that office facilities are maintained in a clean, safe, and professional condition at all times.
Key Responsibilities
- Maintain cleanliness and hygiene within the office premises, including bathrooms, kitchen, and office surroundings
- Support administrative functions such as photocopying, printing, binding, and movement of office items
- Facilitate mail circulation and monitor office consumables
- Assist with meetings and refreshments
- Ensure office equipment such as photocopiers and printers are functioning properly
- Support reception-related duties when required, including welcoming visitors and directing guests appropriately
- Assist with loading and offloading office supplies
- Ensure that office premises are securely locked at the close of business each day
- Work closely with programme and support teams to ensure efficient day-to-day office operations
- In the event of a major humanitarian emergency, the role holder may be expected to work outside the normal role profile and be able to vary working hours accordingly
Requirements
Qualifications and Experience
- At least a Malawi School Certificate of Education (MSCE) or its equivalent. A Certificate in Secretarial Studies will be an added advantage
- At least 1 year of experience working as an Office Assistant or Cleaner; experience working with an INGO will be an added advantage
- Experience operating office machines such as photocopiers and printers
- Basic computer literacy and ability to use applications such as Outlook, Word, and Excel
- Ability to speak, write, and understand simple English
- Ability to write simple reports
