About COMFWB

The COMESA Federation of Women in Business (COMFWB) is a semi-autonomous institution of COMESA established to promote women’s economic empowerment and facilitate the participation of women-owned enterprises in national and regional economies.

COMFWB provides support through capacity building, access to finance, export promotion, market research, investment facilitation, and technical assistance to strengthen women entrepreneurs across the COMESA region.

Job Summary

COMFWB is looking for a qualified and experienced Procurement Expert to support procurement processes, administrative services, and office asset management under the COYWA programme.

The successful candidate will ensure that procurement activities are conducted in a transparent, efficient, competitive, and accountable manner while supporting programme operations.

Key Responsibilities

  • Manage procurement processes from initiation to contract completion in line with established procedures.
  • Develop and update procurement plans for COMFWB and COYWA programmes.
  • Prepare procurement documents including expressions of interest, procurement notices, bidding documents, evaluation reports, and contracts.
  • Serve as Secretary to the Procurement Committee and prepare procurement reports.
  • Respond to supplier and bidder queries regarding procurement processes.
  • Oversee logistics, transport, and fleet management activities.
  • Record purchase transactions in the SUN Accounting System.
  • Maintain proper filing and documentation of procurement records.
  • Verify purchase orders, goods received notes, and invoices.
  • Support contract management through tracking tools and review mechanisms.
  • Lead procurement activities for project requirements and ensure compliance with approval procedures.

Requirements

Qualifications

  • Bachelor’s Degree in Procurement, Commerce, Business Administration, Economics, Purchasing and Supplies, or a related field.
  • Professional qualification in Procurement such as CIPS-UK or equivalent is required if the undergraduate degree is not in procurement or supply chain.
  • A Master’s Degree in a related field will be an added advantage.

Skills and Competencies

  • Ability to work in a fast-paced environment and manage multiple tasks.
  • Proficiency in Microsoft Office applications including Word, Excel, PowerPoint, Access, Publisher, and Outlook.
  • High level of professionalism, integrity, reliability, and teamwork.
  • Knowledge of public sector procurement regulations and administrative systems.
  • Experience in competitive procurement of goods, services, and consultancy contracts.
  • Strong contract management skills.
  • Ability to work with minimum supervision in multicultural environments.
  • Good report writing and online procurement system skills.

Working Language Requirements

Applicants must be fluent in English, French, or Arabic (speaking and writing). Knowledge of more than one of these languages will be an added advantage.

Contract Details

Position: Procurement Expert

Grade: Professional Level

Location: Lilongwe, Malawi

Contract Duration: 12 months (renewable based on performance)
